Allocate Resources > Bulk Update Resources on Tasks
WorkBook has a handy feature that allows you to bulk update resources assigned to tasks. This is a great time saving device for Resource Managers who may need to update many tasks that have originally been assigned group scheduling resources to actual named employees.
ON THIS PAGE YOU WILL FIND: |
---|
MOVE TASKS FROM ONE USER TO ANOTHER
In the jobs module > tasks sub-menu > go to the tasks tab
Select a task
Click the context menu (3 line hamburger menu) > select move task from one user to another
This functionality is available in both the Gantt and grid views.
A pop-up window shows:
1. the original resources assigned to the tasks
2. a list of the tasks you are potentially making updates to
3. a filter (see next section on how the filter works)
In the original resource field > use the drop down to select the resource you wish to update
Once you have chosen your original resource, WorkBook will only show the tasks that the selected resource is assigned to, so you can see which tasks will be updated
In the example below, we’ve selected the group scheduling resource Technical Director in the original resource field.
Now, in the target resource field > use the drop down to select the resource to replace the original resource
Once you have chosen your target resource, WorkBook will populate the target resource column with the name of the target resource
In the example below, we’ve selected the employee Tommy Shelby in the target resource field
Click ok
Your task will now be updated with the new resource
Repeat for each task you wish to update
If an employee has already added time to a task they cannot be replaced on the task using this method. You will need to manually add the new employee to the task.
USING THE FILTER
The filter feature can help you target tasks to a specific data set
