Jobs > System Controls

System controls are called variables in WorkBook and impact the behaviour of your system. They are setup as part of your WorkBook implementation and are based on your agency’s business process. Company and system variables are found in the settings module and are controlled by a system administrator.

Here we take a look at some of the key variables that change the way jobs behave.

548, 551 & 652

Job Status

Job statuses control the way your job is viewed, reported, and whether or not costs can be logged to your job. These system variables allow businesses to set up specific rules around when the status is changed.

At job creation your job is assigned a status (system variable 551) or the status can be set manually by the person opening the job. System variable 652 controls the statuses which are available to you at job creation.

Additionally, system variable 548 can be set to automatically change a job’s status to “in progress” based on the status of a price quote.

Job Access

When enabled, this system variables will control access to jobs based on individuals added to the job’s team.

545, 891, 956, 957, 958 & 1155

Job Closure

A combination of these system variables can be used to selectively restrict job closure when there are still unapproved or open items on a job i.e. time entries (891), price quotes (958), purchase orders (956), materials (957) and vouchers (545).

So, if you get an error at job closure - check for unapproved items and either put them through the approval process or set them to cancelled.

319, 320 & 1051

Job Reporting

These system variables control when price quote values appear in job reports, specifically in a job's costs tab or the jobs list.

System variables 319 & 320 control when price quote values appear in a job’s costs tab. Price quote status "approved externally" (when a client has approved the price quote) is controlled by variable 319 and "approved internally" (when it is agency, but not client approved) is controlled by variable 320.

System variable 1051 controls when a price quote value appears in the jobs list. When switched on, price quote values will appear in the price quote column no matter what status the price quote is at (except cancelled). If switched off, the jobs list will only show "internally & externally approved" price quote values in the price quote column on the jobs list.
