Once project records are approved (status 40 or status 50 depending on your WorkBook setup) then they will be ready for posting. Project related postings are all journalised, or ‘booked’, within finance & administration module > general ledger > project postings.
PROJECT POSTINGS NAVIGATION
NUMBER | FUNCTIONALITY |
1 | This grid shows you a separate row for each type of record subject to project postings. When you book a transaction type, the resulting journal will contain all records indicated within the records column. The first date and last date columns will indicate the date range of the transactions that are about to be posted. If the first date lies in a closed accounting period then you will need to update the posting dates prior to booking. The cost price, sales price and WIP value columns indicate the total value of transactions about to be posted. You must have show values in the amount columns checked for these to appear. The non-approved records column is for information only. Unapproved records will not be available for booking. If you have a large number of unapproved records, then you may choose to investigate and resolve these prior to posting. |
2 | Use this book icon to journalise all records for this record type. |
3 | When a specific record type row is selected (in this example, time entries) then the sub-grid will give you a summary of all records that will be posted when you click on book. In this example, you can see the 18 time entry records indicated in the booking row above. |
4 | The time entries – edit date tab allows you to adjust postings dates. Adjusting posting dates is a critical feature, used regularly to ensure that financial transactions are booked to the appropriate accounting period. |
5 | The time entries suggestions and time entries summaries menus will give you detail on the journal entries made when you book these records. |
6 | The open entries tab gives you a summary of those entries indicated within the non-approved records column. |
7 | The filter on job no. feature allows you to enter a job number in order to restrict postings for a certain record type to one job number only. This feature is only available for time entry, WIP adjustment, sales invoice and job closure postings. |
8 | Include up to this date allows you to filter your transactions up until a specific date, for the purposes of restricting your postings. This should always be checked/adjusted. |
