Prospects are potential new business customers that you want to work with. You can create CRM pipelines and activities against both prospects and clients, but you cannot create a job against a prospect. The creation of prospects is usually less restrictive and open to users who have access to the CRM module.

ON THIS PAGE YOU WILL FIND:


CREATE A PROSPECT

  • Go to CRM module > clients & prospects list > click the add new prospect (blue star) icon

  • In the pop-up complete the following fields (only the name field is mandatory, the rest are optional)

FIELD

DESCRIPTION 

Name*

Name of company / prospect

Address and company details

This information can be added now or later

Business

If using business types, you can select and allocate a business from the dropdown

Default company

Defaults to your company (but if you have access to multiple companies you can select the relevant company here)

Responsible

The person responsible for the prospect, this will default to your name

Resource group

If using resource groups, you can select and allocate a group from the dropdown

Checkbox: Create new pipeline

Check to continue on and create a new pipeline straightaway

Checkbox: Create the first activity

Check to continue on and create a new activity straightaway

Checkbox: Ignore duplicate control

The system will automatically check for duplicate records before creating a new one, check this box to ignore this control

  • Click ok to create the record


SHOW/HIDE HIDE PROSPECT CARD

  • Go to clients & prospects list to see the list of clients and prospects based on your filter settings

  • Select a resource from the list and click show/hide prospect card (blue star) icon to complete and maintain additional fields against the resource

  • From here you can add, update and maintain information and contacts, create and review pipelines, create and view activities, as well as upload documents and start conversations with another employees.

ADD INFORMATION TO PROSPECT RECORD

  • Add, update and maintain information against an existing prospect record via the information (blue star) tab on the prospect card. From here you can update the following prospect information:

    • Name

    • Initials

    • Phone number

    • Mobile number

    • Email

    • Social information e.g. web address, LinkedIn page etc.

    • Resource group (can be used on client and prospect resources, resource groups are used for grouping resources together e.g. for a mail out)

    • Tags

    • Address details

    • Business (clients can be grouped by business type or industry for reporting purposes e.g. Retail, Technology, Finance etc.)

    • Primary Contact (main contact for the client)

    • Responsible (your company’s client lead)

UPDATE PROFILE PICTURE

You can also create profile picture (usually the client logo) for prospects via the information tab.

  • Click on light blue box with the client’s initials or the existing profile picture

  • Click the upload icon

  • Select your image > click open

  • You will now have a profile picture for the client

CONTACT NAVIGATION

The features for contacts are the same whether you access via the resources or CRM module.

Conversation

Start a new conversation about the prospect and view past conversations with other employees here

Profile

Pipeline

If dimensions are enabled and required on pipelines you can view and update them here (dimensions are setup and managed via settings > dimensions > dimension setup)

Documents

Upload a document against the pipeline record or create a new document from a template

Emails

Imported emails that have been saved against the pipeline can be viewed here
