System controls are called variables in WorkBook and impact the behaviour of your system. They are setup as part of your WorkBook implementation and are based on your agency’s business process. Company and system variables are found in the settings module and are controlled by a system administrator.

Here we take a look at some of the key variables that change the way behavethe CRM module behaves.

There are different system variables that you need to consider when setting up pipeline management.

679 – Lead to opportunity break percentage. When a lead becomes an opportunity.

803 – Default setting. If active the system will create a new pipeline when creating a prospect

This variable allows agencies to set an automation on a pipeline status by setting a probability percentage that triggers the switch from Lead to Opportunity.

Pipeline Management: Create a Pipeline when creating a new Prospect

System variable 803 is used by agencies who wish to automatically create a pipeline when a new prospect is created.

Pipeline Management: Lost Description on a Pipeline

When selected, system variable 902 requires users to enter a description or reason when setting a pipeline as “lost”.

System variable 982 allows you to set the number of days for an automated follow-up prompt to be sent on a CRM activity.

Forecast Calculation Method: 12 Month Summary Forecast

This variable is applicable only to the 12 Month Summary Forecast. Here you can choose the method for the forecast calculation.

  • Method 1 - Historical amounts (depending on SV 962) are evenly distributed over the remaining period of the pipeline/job.

  • Method 2 - Historical amounts (depending on SV 962) are fixed, and will not be moved as the pipeline/job progresses. Invoice amounts are not deducted from the total value.
