MODULES
WorkBook is a modular system, with the UI and functionality tailored according to license type, user permission set and your company’s system configuration.

Dashboard | Use widgets for easy access to information, report data and databoards. |
Inbox | Automated notifications (i.e. overdue deadlines, digital approvals required). “Chat” facility & messages with other people within your company. Conversations relating to: project briefs, tasks, resourcing, estimates, timesheets can all take place in WorkBook Chat. |
Tasks | Individual task list, approvals and follow-up views, including assigned tasks, price quote, time entry, and WIP adjustment approvals. |
Time & Expense | Log and submit timesheets, absences and expenses. |
CRM | Create and manage clients & prospects, pipelines and CRM activities. |
Resources | Create and maintain employee, client, prospect and supplier records. |
Jobs | Create and maintain jobs and job-related data, including price quotes, schedules, purchase orders, invoices, and costs. |
Scheduling | Overall capacity, utilisation and resource planning views. |
Email import | If using the email import function, you can access your emails via the WorkBook interface. |
Finance & Administration | Finance tasks are completed here, including project postings, net revenue forecast, cost entries and creditor invoices. |
Settings | Core system and company settings are managed here, including dimensions, activities and price lists, system and company variables, and approval workflows. |
In most areas of WorkBook, you do not need to save. Documents (such as briefs) are the main exception.

GLOSSARY
Find below a list of common terminology used in WorkBook.
TERM | DESCRIPTION |
Project | A way of linking together/ grouping multiple jobs underneath the client, for the purposes of reporting. |
Job | A job has a unique ID and holds all invoices, quotes, schedules, forecast, for a single, or a series of, client deliverable(s). |
Schedule | A collection of phases and tasks grouped together for the purposes of planning a timeline and the basis of your SOW. |
Task | A deliverable relating to a phase and a job that you wish to (1) assign people to, (2) assign a start and end date to, (3) track time against. |
Dimension | Reporting categories that get assigned to a job. They can be set to default by client. |
Price Quote | A quote that can be output for the purposes of client approval. Has statuses assigned that will be used for forecasting revenue. |
Revenue Recognition | A way of recording revenue against a project based upon the percentage of the client approved estimate that you have delivered. |
Net Revenue Forecast | A WorkBook module that creates the revenue forecast combining actuals with forecast data. |
Activity | A billable role or 3rd party cost category. All quotes, billings, time and costs must be categorised against activities. Activities will default, where they relate to people. |
Price List | Another name for a rate card. Every job must have a price list attached. A price list is made up of multiple activities; each activity in a price list has a default hourly rate (time-based activities) or a default profit margin (3rd party activities). Every client is set-up with a default price list. |
