OVERVIEW

When setting up storage providers you will be required to complete information on which kind of data and file structure you currently use (or what you foresee will be used). It’s important to note if there are any issues with the current solution, as it might be worth switching from one solution to another while you implement your Deltek WorkBook system.

The solution acts as if it were a user itself accessing the files. That means when you access a job and look at the files attached to that specific job, it will list the same files as if you went through your OneDrive, for instance, portal out of the system. Below is a list of storage providers currently supported.

SUPPORTED STORAGE PROVIDERS

Azure Storage

If your agency using Azure Blob Storage, this method is supported.

WebDAV

The WebDAV protocol is supported and can be used to access an in-house storage server. If you choose to have WorkBook hosted in the cloud, this would be your preferred method to access the files.

OneDrive for Business

If your agency is using Office365 and SharePoint then this method is supported.

Google Drive

If your agency is using corporate Google Drive then this method is supported.

Note

This may not be the fastest solution. Consult your implementation team.

Citrix Sharefile

If your agency is using the Citrix Sharefile solution then this method is supported.

Local File System

WorkBook can access a local in-house storage server, if you’re hosting the WorkBook solution yourself.

Most WorkBook clients choose to host WorkBook via the cloud solution.

WHERE ARE THEY USED

If you choose to enable storage providers and connect it to your own storage solution, WorkBook will automatically create a folder structure based on your setup. Furthermore, all of the points below must be configured when installing a new system or moving an installation.

     (Folders for clients, companies, employees, etc.)

     (Folders directly connected to individual jobs)

TROUBLESHOOTING

Test Storage Provider solution

You have the ability to test if WorkBook is able to reach and manipulate files and folders within your storage setup. This is a helpful way to check your configuration and provides good feedback if you’re configuring an internal storage solution.

  • Settings module > folders, reports and documents

  • Select storage & folders > storage provider

  • Select the test storage provider icon (highlighted below)

  • Then enter a random string of characters in “enter directory in which to run tests

  • Select “run test”

Test Results

Once you click “run test” a pop-up window will appear with the test results.

The image below shows that all options have been tested and returned positive results. When items fail, revisit your settings and then re-run the test until all return a positive result.

COMMON ERRORS

Unable to delete files or folders from the system itself

Since WorkBook doesn’t actually delete files from your storage, the system utilises a trash can system, just like your computer does when you manually remove a file. Check the system variables, specifically variable 41 as seen in the screenshot below. If no folder is specified you won’t be able to remove files from jobs or resource folders.
